Fix wrong cached addresses in Outlook

Periodically an email address inside the company you send to all the time starts acting up by not sending or bouncing back. This normally happens when either an individual’s email address changes from one domain to another or when the Microsoft Exchange server changes. The first event you may be aware of but the second you normally do not know.

 

Here is what is going on: Outlook in an attempt to make your life easier employs an AutoSuggest/Auto-Complete feature for you. When you open a new email and start typing a name, Outlook scrolls through the cached list trying to find a fit for you. In the example below, if you often emailed feedback@somecompany.com, then in a new email you might only get as far as typing “fe” before the suggested address pops up for you to select and for Outlook to autocomplete. From the user’s viewpoint, we see an email address like “feedback@somecomany.com” or “someone@universalleaf.com” but Outlook keeps a whole bunch of hidden information such as the quickest path to delivering to that address. When things change, your cached information becomes wrong and needs to be deleted.

 

The fix is a two-step process: Delete the cached email and import it from the Global Address List.

 

Open a new email and, start typing the beginning of the offending email address like “fe” for “feedback” as in the example below.  A drop down will appear. When you mouse over the offending address an X will show at the far right. Click the X and delete the cached email address out of the Outlook temporary file. The offending address is gone.

 

Now to get it back. Click the “To” button and re-select the address from the Global Address List.  The new address with all of the hidden information is updated in your Outlook.

 

If you have the offending address appeared in any distribution groups in your contacts you will need to delete and re-add it from the Global Address List as well.
